Institutional Loans
Institutional loan policy and request procedure for qualified museums, universities, and research bodies seeking objects for research, exhibition, or scholarship.
Six governing clauses.
These provisions establish the baseline for every institutional loan. Object condition, legal status, and curatorial priority may require additional controls.
Official Loan Request
A guided four-step request. Progress saves automatically and every submission is reviewed individually under the archive’s institutional loan policy.
Eligibility
Loans are restricted to recognized institutions, including museums, universities, and established research bodies. Borrowing institutions must demonstrate the capacity to maintain proper environmental controls, security protocols, and handling standards commensurate with the requested objects.
Loan Conditions
All objects remain the exclusive property of the archive throughout the loan period.
The duration of the loan is strictly defined by the formal agreement.
Borrowers must maintain specified environmental controls (temperature, relative humidity, and light levels) at all times.
No physical alteration, sampling, or conservation treatment may be performed without explicit prior written permission.
Full "nail-to-nail" insurance coverage is required, with the archive named as the beneficiary.
Handling and installation must adhere to the archive’s documented standards.
Transport & Handling
All transport arrangements, including packing methods and transit routes, must be approved by the archive in advance. Depending on the nature and significance of the objects, the archive may require the use of specific fine art couriers or the presence of an archive representative during transit and installation.
Documentation Requirements
Prospective borrowers must submit a current General Facility Report prior to approval. Detailed condition reports will be generated by the archive prior to dispatch and must be verified and countersigned by the borrowing institution upon receipt and prior to return.
Restrictions
Third-party transfer or sub-loaning of objects is strictly prohibited.
Loan extensions will not be granted without formal review and written approval prior to the expiration of the original term.
Objects may not be used for commercial purposes or unauthorized reproduction.
Certain objects may be restricted from loan due to condition, legal status, or institutional priority.
Request Procedure
Formal requests must be submitted using the form below. The guided form collects the borrowing institution's details, specific accession numbers of the requested objects, a detailed statement of purpose, the proposed loan duration, and a declaration of venue facilities. All requests are reviewed on a case-by-case basis.
